Employees working full time, excluding temporary employees and student assistants, may receive vacation at the rate of one and one-fourth working days per month for each of the first five years of employment and one and one-half working days after the completion of five years. Vacation will accrue at one and three-fourths working days for each year after the completion of ten years of continuous service. Employees other than temporary, and student assistants, working one-half time or more, but less than full-time, earn and accrue vacation time in an equivalent ratio to their percentage of time employed. Accrued vacation is listed on each employee's paycheck stub.
Earned vacation may be accrued up to a maximum of 45 working days, and employees, except those paid from sponsored funds, are compensated for all accrued vacation time, up to the maximum of 45 days, upon termination from the University system of Georgia for any reason. Such compensation is based on information from institutional vacation leave records.
An employee may not take vacation time unless it has been approved by the supervisor. Upon returning from vacation, exempt employees should record vacation time on a Monthly Leave Statement. Non-exempt employee should record vacation time on a non-exempt employee time sheet. Each form should be approved by the appropriate authorized official and submitted to the payroll office.
Temporary employees, student assistants, graduate assistants, part-time instructors, and regular employees working less than one-half time (.5 EFT) do not earn or accrue vacation time.
On December 31, every employee's leave record is adjusted to show no more than 45 days accrual. (Per Board of Regents, University System of Georgia, Personal Procedure Guide No. 1).
