NO SHOW REPORTING
To comply with Federal Financial Aid regulations, MSC revised the "No-Show" reporting procedures Spring Semester 2004.
At issue are Financial Aid recipients who become ineligible for funds by not attending at least one class session. Students who do not attend at least one class session are NOT entitled to keep the financial aid award. When these students are not reported as a no-show in a timely manner (that is before Financial Aid Remaining Balance funds are disbursed), both the College and the student may incur fiscal liability for the portion of the award that the student is no longer eligible to receive. The revised no-show reporting procedures will better position MSC to adjust financial aid awards before remaining balance funds are issued thereby eliminating liability for both the College and the student.
Faculty reporting of no-shows begins at 4:30 on the fifth day of class and lasts until noon of the eighth day of class. The Associate Vice President of Academic Affairs will send emails to Faculty notifying them of the exact dates.
Please be reminded that only students who have never attended a single class (or in the case of an online class, the student has never communicated with the instructor) should be reported as a no-show. If a student attends one class but is no longer attending, DO NOT report that student as a no-show.
Students reported as no-show will not receive their financial aid remaining balance funds. These students may obtain a "Verification of Attendance" form from the Financial Aid Office in order to receive those funds. Faculty members should sign the form only after the student has attended at least one class session.
Instructions for reporting no-shows are as follows:
NO-SHOW REPORTING FACULTY INSTRUCTIONS
PLEASE PRINT THE REVISED NO-SHOW CLASS ROLLS AVAILABLE AT 4:30 ON THE FIFTH DAY OF CLASS
Instructions for accessing initial class roll from Banner Web are as follows:
1. Log into Banner Web using your FAC number and PIN
2. Click on “Faculty Services”
3. Click on “Mid Term Grades”
4. Select the term and click Submit
5. Select a CRN and click Submit
6. Annotate the roll using the Grade field as indicated below:
(If you cannot access the roll please contact Computer Services at 478-757-3612.)
If a student on the roll is a “no-show” (has not attended class at all) please indicate by entering “N” beside the name of each student who has NEVER attended the class, not even once. (Note that if a student has attended at least one time they should not be reported as a no-show.)
If ALL students on the roll have attended the class at least one time, please enter R as the grade for the first student on the roll. This indicates that the roll has been reviewed and does not contain “No Shows”.
Submit the roll. The following message should appear: The grade or Last Attend Date changes you made have been saved successfully. You may now select another CRN to process an additional roll.
If, after you have submitted the roll, a student attends the class you may go back into the roll, adjust it, and resubmit the roll while the reporting is open. Once no show reporting is closed, errors can only be corrected through the Verification of Attendance process.
